ServiceM8 Xero Integration: Setup Guide for Electricians & Solar
One of the main reasons Australian electrical and solar businesses choose ServiceM8 is its Xero integration — invoices generated in the field sync to Xero automatically, payments flow back, and the two systems stay in sync without manual data entry.
For electrical contractors, this isn’t just about convenience. Under the Fair Work Act 2009, employers must maintain accurate time and wage records for 7 years. The Australian Taxation Office requires GST-compliant invoicing with correct ABNs and tax codes. A properly configured ServiceM8-Xero integration means every invoice is compliant at source — no end-of-month reconciliation panic, no missing records if Fair Work or the ATO audits.

Why the ServiceM8–Xero Integration Matters
For most trade businesses, the accounting bottleneck is the gap between completing a job and getting paid. Without integration, the process looks like this:
- Job completed on Thursday
- Job notes and time come back to the office
- Admin creates an invoice in Xero on Friday or Monday
- Invoice sent Tuesday (or later)
- Payment terms start from invoice date
With ServiceM8–Xero integration, the process is:
- Job completed on Thursday
- Technician invoices on-site from their phone
- Invoice appears in Xero immediately
- Payment terms start from Thursday

Setting Up the Integration
Step 1: Connect ServiceM8 to Xero
- In ServiceM8, go to Settings (gear icon) → Integrations
- Select Xero from the integration list
- Click Connect to Xero
- You’ll be redirected to Xero’s login page — sign in with your Xero credentials
- Authorise ServiceM8 to access your Xero organisation
- Select the correct Xero organisation if you have multiple
- Click Allow access

- Set the default Xero account code for invoiced work (typically your income account — e.g., 200 Sales)
- If you have different service types (labour, materials, callout fees), configure separate account codes for each
Tip: Use Xero’s chart of accounts to set up separate income accounts for labour and materials before connecting. This gives you cleaner P&L reporting — you’ll see labour income and materials income separately without manually categorising.
Step 3: Check client record sync
Existing clients in ServiceM8 will be matched to existing Xero contacts by name or email. Review the match suggestions in the integration settings and confirm any that look incorrect.
New clients created in ServiceM8 are automatically created in Xero. New contacts created in Xero are available in ServiceM8 when you search for a client.

Getting the Most From the Integration
Invoice on-site, every time
The integration only delivers its full benefit when technicians invoice from the field on completion, not from an office later. Set a clear workflow expectation: job finished = invoice sent before leaving the site. Most technicians adopt this quickly once they see how fast ServiceM8 makes the process.
Use Xero’s bank feed for reconciliation
With invoices in Xero, bank feed reconciliation becomes straightforward — Xero automatically matches incoming payments to outstanding invoices. The payment status then flows back to ServiceM8. This replaces manual “mark as paid” steps in both systems.
Set up payment terms in both systems consistently
Configure your payment terms (e.g., 7-day or 14-day) consistently in both ServiceM8 (under business settings) and Xero (under your invoice settings). Inconsistency creates confusion when following up overdue invoices.
Use ServiceM8’s automated payment reminders
ServiceM8 can send automated payment reminder emails to customers with overdue invoices. Since Xero’s payment status flows back to ServiceM8, ServiceM8 knows when an invoice is paid and stops the reminder sequence automatically. Enable this in ServiceM8’s settings to reduce manual follow-up.
Separate account codes for labour and materials
If you’re billing labour and materials separately (which most electrical businesses should), configure separate Xero account codes in ServiceM8’s integration settings. This means your Xero P&L shows:
